Email Template for Cold Email: 5 Examples and When to Use Each

An email template for cold email is a reusable first message with the changing parts left open: why you chose this person, what you offer, one request and who you are. Pick the template by what you need back: a yes to a free sample, an interview, the right contact, a partnership or a call. Then replace every example detail with a fact you have checked about that person.

Five templates, one per request

All five examples are fictional: invented senders, recipients and businesses. The bracketed line in some signatures is what you add when the law requires it; the checks at the end explain when.

1. Offer a free sample (you sell a service)

Use it when the recipient can judge your work in a few minutes: a translated page, a rewritten email, a fixed layout.

Subject: German version of your Sencha page

Hi Tom,

Your shipping page lists Germany and Austria, but every product
page on the shop is in English only.

I translate online stores into German. I can translate your Sencha
page for free, so you can show it to a German-speaking customer
before deciding anything.

Should I send it?

Replace the observation with something you verified on their public pages, and the sample with work small enough to give to someone who says no.

2. Ask for an interview (you are building a product)

Use it when you are testing a product idea and need to hear how someone handles a problem today.

Subject: Your post on expired gallery links

Hi Priya,

In your March post, you wrote that couples often miss the download
deadline and then ask you to upload their wedding gallery again.

I am building a small tool for photographers who deliver galleries
online, and I want to understand that problem before writing any
code. There is nothing to buy.

Could I send you three questions about how you handle those requests
today? A few lines for each would be plenty.

Replace the place where they described the problem: a post, a talk, a forum answer. Keep "There is nothing to buy" only if it is true; once you pitch your product, it is a sales email.

3. Find the right person (you do not know who decides)

Use it when the only address you can find is a general contact, or someone who probably does not handle your topic.

Subject: Booking button hidden on phones

Hi Sam,

On a phone, the "Confirm" button of your class booking form sits
under the cookie banner and cannot be tapped until the banner
is closed.

I build and fix websites for small studios. Could you tell me who
looks after the site? A name is enough, and I will write to them
directly.

Give the finding in full: it shows the email is about their site, and it helps them even if nobody replies.

4. Propose a partnership (another small business, same customers)

Use it when someone sells a different product to the people you serve.

Subject: A fueling page for your marathon plan

Hi Ben,

Your 16-week marathon plan tells runners to "practice fueling on
long runs", but it does not say what to eat or when.

I write a weekly meal-planning newsletter for amateur runners. I could
write a one-page guide on eating before and during long runs, for you
to add to the plan. In return, you would mention the newsletter once,
at the bottom of that page.

Would you like me to send a draft first?

If this is not for you, reply "no" and I will not write again.

Name one small exchange. "Exploring ways to work together" leaves the other person to invent the project.

5. Ask for a call (the work needs a conversation)

Use it when the recipient has said publicly that they are buying, through a job listing or a request for quotes, and you cannot price the work without their details.

Subject: Your freelance listing for the store migration

Hi Alicia,

Your listing asks for a freelancer to move the Linden & Co store
to a new platform by January.

I migrate small online stores. Before quoting, I would need three
answers: how many products and variants you sell, whether customer
accounts must move with their order history, and which apps the
store depends on.

Could we take 20 minutes this week or next to go through them?
If you prefer, answer by email and I will send a written estimate.

If this is not useful, reply "no" and I will not write again.

The same structure with brackets

Ask for the smallest thing that moves your next step forward, and ask for a call only when you cannot scope or price the work without one.

Why only one template asks for a call

A call asks a stranger for calendar time before they know whether your offer fits. The other four requests can be answered in a few lines from a phone: yes, send the page; here are my answers; write to Dana; yes, send the draft. My default is the smallest request that moves your next step forward, and a call only when you cannot scope or price the work without one.

The best argument against this has two parts. A free sample is unpaid work, and some people collect samples with no intention of buying. And a call request filters: someone who books twenty minutes is more committed than someone who replies "sure, send it".

Both points set the limits of the advice. Keep a sample to something you would give away without regret, such as one page or one fix, and link to existing work when a sample would take hours. Switch to the call template when the recipient has published that they are buying, or when your price depends on details only they have.

Three checks before you send

First, try the template on the person on your list you know least about. If you cannot write the opening sentence with a fact you checked, drop them from your list rather than sending a version without it.

Second, imagine sending the same email to one of the recipient's competitors. If every sentence would still be true, the opening is too general.

Third, identify yourself. In the US, the FTC's CAN-SPAM compliance guide covers any email whose primary purpose is to promote a product or service, business-to-business included. It requires accurate headers, a subject that matches the content, a clear disclosure that the message is an ad, a valid postal address and an opt-out honored within 10 business days. Treat every template that mentions a paid service as commercial: here, all but the interview request. A return email address is an accepted opt-out route, so keep the refusal line and honor it. Finally, Google's sender guidelines require SPF or DKIM from anyone sending to Gmail, and a spam rate below 0.3% in Postmaster Tools.

Can AI fill in these templates? It can turn your notes into a draft. Give it the fact you checked, your offer and the request, but never let it invent the first sentence: that sentence is what shows you chose this person.
